New Electronic Travel Authority (ETA) Rules for 2025: What Educators Need to Know for Student Travel to Europe and the UK

Attention Group Leaders! đŸŒâœˆïž Are you planning a teacher-led tour or student trip to Europe or the United Kingdom in 2025? If so, there’s an important new requirement that could impact your students' travel preparations: the Electronic Travel Authority (ETA). This new system will affect everyone traveling to these destinations—whether you’re staying for a week or simply connecting through an airport. So let’s break down the changes, the cost, and what you need to do to make the transition smooth for both you and your students.

What is the ETA, and Why Do You Need It?

An Electronic Travel Authority (ETA) is a digital travel authorization required for nationals of certain countries—like the U.S., Canada, and Australia—before entering the European Union (EU) and the United Kingdom (UK). Think of it like a digital visa. While it’s not a full visa, it serves as permission to travel and ensures that travelers meet the security and immigration standards of the region. Countries are implementing the ETA system as a way to increase security, streamline border controls, and better manage travel within the EU and UK.

This is especially relevant for student travel—whether it’s an educational trip to London or a student exchange in Paris—because even if your students are just connecting through an airport in the UK or EU, they’ll still need an ETA to board their flights. đŸ“…âœˆïž

When Does the ETA Take Effect?

  • UK ETA: Effective January 8, 2025, the UK will require travelers from visa-exempt countries (like the U.S., Canada, Australia, etc.) to apply for an ETA before arriving in the country. Here is the official UK government website with all of the details.

  • EU ETA: The European Travel Information and Authorization System (ETIAS) will come into effect in mid 2025 for nationals from non-EU countries. This will affect 60 countries, including the U.S., Canada, Australia, and more. When the ETIA goes into affect for the EU, here is their official website.

How Long is the ETA Valid?

Great news for educators! The UK ETA isn’t a one-time use pass—it lasts for 2 years and the EU ETIA is good for 3 years or until your passport expires, whichever comes first. So, if you're planning multiple trips or taking your students on teacher-led tours every few years, your ETA will cover all your travels during that time.

Do You Need an ETA for a Connecting Flight?

Travelers transiting through the UK on their way to another destination, will need an ETA; however, if you are transiting through an EU country and do not plan on leaving the airport, you will NOT need an ETA. It’s a small but important detail to keep in mind as you plan your trip.

How Much Does an ETA Cost?

  • UK ETA: The cost of the UK ETA will be ÂŁ10 (about $12.58). Everyone will have to pay the same amount, no matter their age.

  • EU ETIAS: The ETIAS for the European Union will cost €7 (roughly $7.21), but only for travelers between the ages of 18 and 70. If you're leading a group of students, most of your students may not be impacted by the fee, but it’s important to check the exact details before applying; however, they will still NEED to apply for the ETA, there just won’t be a fee.

How to Apply for an ETA: Easy as 1-2-3!

The good news is that applying for an ETA is a straightforward process, and it can be done completely online! đŸ–„ïž Here’s how you can guide your students through it:

  1. Download the ETA App: Both the UK and the EU will have dedicated mobile apps for applying for your ETA. These apps are available on both Android and iOS, so make sure you and your students download them ahead of time. đŸ“Č

  2. Fill Out the Application: It’s a simple form that will ask for basic information like your passport details, travel plans, and some personal questions about security. It only takes a few minutes!

  3. Pay the Fee: You’ll pay the ETA fee using a credit or debit card. Keep in mind that the payment process is secure and encrypted.

  4. Receive Your ETA: Once approved, you’ll receive your ETA via email. It’s linked directly to your passport, so you won’t need a physical document, just a digital copy. Have your students be on the lookout for an email confirming their approval.

Tips for Smooth Travel Planning

  • Plan Ahead: While the ETA is quick to apply for, make sure to allow enough time before your trip. It’s best to get it sorted well in advance so you’re not scrambling last minute. 1-2 weeks before your departure is advised.

  • Double-Check Travel Requirements: ETA regulations can vary slightly depending on the country you’re traveling to, so make sure to double-check the entry requirements for each destination.

  • Prepare Students for the Process: If you’re leading a group of students, make sure they understand the importance of getting their ETAs early! You can make the process even easier by guiding them through the steps and ensuring they have their passport details handy.
